About the position

As we celebrate our Centennial year, the American Heart Association invites you to join us in shaping the next century of impact. We are looking for a Senior National Meetings & Events Manager to join our team at the National Center in Dallas, Texas. This role offers flexible work arrangements and is crucial in leading the planning and execution of significant events, including the International Stroke City-Wide Conference. The successful candidate will be responsible for developing and managing budgets, negotiating contracts, and ensuring the successful execution of events that align with our mission of promoting cardiovascular health and well-being. In this position, you will lead the Meetings and Events team, overseeing all aspects of event planning from initial concept through to execution. This includes managing the Request for Proposal (RFP) process, site selection, and on-site logistics for the International Stroke Conference and other senior-level scientific and corporate meetings. You will work closely with various internal departments and external vendors to ensure that all events meet the high standards expected by the Association and its stakeholders. Your role will also involve managing the Association's Master Calendar of Events, ensuring that all timelines are adhered to, and that communication is effective across all teams involved. Providing excellent customer service to both internal and external customers is paramount, as is establishing positive relationships with volunteers and stakeholders. You will be expected to identify potential cost savings and revenue gains while managing the overall budget for your portfolio of events.

Responsibilities

  • Lead the Meetings and Events team responsible for the International Stroke City-Wide Conference planning and execution.
  • Develop and manage the budget for show management, audiovisual, and food/beverage expenses for the International Stroke Conference.
  • Manage all RFP, site selection, pre-planning, and on-site execution processes for the International Stroke Conference and other senior-level meetings.
  • Negotiate and execute hotel and vendor contracts to secure cost-effective arrangements.
  • Work strategically with the Office of Science Operations and other internal departments to accomplish event-related goals.
  • Manage revenue and budget for established portfolio while identifying potential cost savings and revenue gains.
  • Manage project timelines, deadline compliance, and effective communication.
  • Provide excellent customer service to internal and external customers.
  • Establish positive relationships with volunteers and anticipate their needs.
  • Manage the Association's Master Calendar of Events.

Requirements

  • Bachelor's Degree or equivalent work experience.
  • Minimum of 5 years of experience in meeting planning, particularly for medical association meetings.
  • Ability to maintain detailed event management-related current and historical data.
  • Knowledge of event management technology.
  • Strong organizational skills to manage multiple events simultaneously.
  • Ability to manage project time and workload efficiently.
  • Ability to think logically and solve problems.
  • Ability to work in a team environment.

Nice-to-haves

  • Certified Meeting Planner (CMP) certification.
  • Minimum of 7 years of experience in meeting planning, particularly for medical association meetings.
