Matt Hawkins leads this high-performing contractor team supporting NAVSEA. Serco-NA is seeking a motivated Executive Assistant to provide direct support to the front office of one of our customers with the U.S. Navy in the Washington, DC area. Responsibilities include but are not limited to: Analyzing processes and workflows, formulating process improvement recommendations, analyzing technical/programmatic information to ensure a smooth operation of the department, field location, or specific project. Researching, assembling, and analyzing facts; and presents oral and written documents of compiled data for senior leadership use in responding to actions which require his/her personal attention. Tracking action items to ensure they are complete and on time and meets leadership expectation. Developing and implementing office and organizational administrative policies and procedures. Maintaining calendar, scheduling of commitments, and reminding senior leadership of obligations. Preparing, processing, and maintaining complex paperwork and forms (must have extensive knowledge). Coordinating travel and preparing travel documentation to include expense reports. Safeguarding sensitive business information, tracking, and delivering time constraint and recurrent tasks using sensitive records, information and data received on a constant basis. Spearheading the review of administrative and technical documentation for format, editorial, and subject-matter accuracy, and clarity. Advising managers and staff on proper company procedures and policies. Attending meetings and preparing notes and/or meeting minutes (attention to detail and punctuality is a must). Ensuring correspondence (memoranda, letters, reports, instructions, etc.) is completed accurately in a timely manner in accordance with the Department of the Navy Correspondence Manual and applicable policies. Reviewing Defense Travel System travel authorizations and vouchers for program office personnel. Updating office organization chart and phone listings. Other administrative duties as assigned.

Requirements

  • A current or active DoD Secret security clearance.
  • A High School diploma with two years of related experience.
  • An advanced MS Office skillset including Outlook, PowerPoint, Word, and Excel.
  • Ability to multi-task in a fast-paced environment with little to no supervision.
  • Outstanding written and oral communication skills.
  • Attention to detail and ability to meet tight deadlines.

Nice-to-haves

  • Experience providing administrative support to senior/executive level managers.
  • Experience supporting a Navy acquisition program office.
