About the position

The Executive Assistant at Chicago Public Schools (CPS) plays a crucial role in supporting the Chief of Schools and ensuring the smooth operation of Network 9, which focuses on elementary schools in the south geographic area of Chicago. This position is responsible for a variety of administrative tasks that contribute to a respectful and responsive environment for students, parents, and community partners. The Executive Assistant will manage schedules, handle communications, and oversee office operations, all while maintaining a high level of professionalism and organization.

Responsibilities

  • Greet visitors and callers, handle inquiries, and direct them appropriately.
  • Open parent tickets and escalate Tier 2 & Tier 3 issues to the Parent Support Administrators.
  • Manage the schedule of meetings, activities, and deadlines for the Chief of Schools.
  • Prepare and manage payroll, reimbursements, and purchase orders for the Chief of Schools and Network staff.
  • Open, read, route, and distribute incoming mail and prepare answers to routine letters.
  • Set up and maintain paper and electronic filing systems for records and correspondence.
  • Handle confidential and time-sensitive materials.
  • Oversee the ordering of office supplies and maintenance of school-related financial records.
  • Prepare documents for internal audits and handle day-to-day requests as needed.

Requirements

  • High School Diploma or GED equivalent required; Bachelor's degree preferred.
  • Minimum 3 years of experience as an Executive Assistant for a Senior Level Executive preferred.
  • Minimum 3 years of experience as a school clerk or network support staff preferred.
  • Exceptional verbal, written, and interpersonal communication skills.
  • Knowledge of CPS applications: KRONOS, Verify, ORACLE, Dashboard, and Google Drive.
  • Ability to work in a fast-paced environment with a sense of urgency.
  • Experience managing multiple projects and simultaneous deadlines.
  • Strong attention to detail and highly organized.
  • Proficient with MS Office Suite, Excel, PowerPoint, Oracle, and Kronos.
