Administrative and Support Services

About the position

The Vendor Management Center (VMC) is responsible for overseeing all administrative and audit-related functions for Third Party Vendors that service our domestic Global Network Operations team. This role is crucial in managing workload distribution, ensuring job due dates are met, and maintaining change controls. Additionally, the position involves conducting audits related to both the work completed by vendors and the invoicing processes to guarantee timely and accurate delivery and billing of services provided by our vendor partners. Key responsibilities include ensuring accurate workload distribution and timely completion of tasks by vendor partners. This involves developing action and remediation plans with vendors to address any backlogged or overdue work or projects. The role also requires collaboration with internal parties and vendors to validate and correct work request descriptions and details, ensuring that all relevant stakeholders are informed and approve any changes requested by vendors. Regular audit requests are issued on completed vendor work to ensure compliance with specifications and local codes. The position entails collecting and reviewing audit forms and performance reporting metrics for vendors at both market and national levels, which are then used to build Vendor Score Card reports. These score card results are provided to management for further analysis and planning. The role also involves historically tracking all vendor performance data at market, region, and national levels, identifying improvement opportunities based on historical trending analysis. Reviewing vendor invoice requests for accuracy based on jobs assigned, completed, and job unit pricing is another critical responsibility. Any inaccuracies must be addressed with both the vendor and relevant stakeholder parties, such as Engineering and Field Operations. Ensuring that approved invoices are paid to vendors in a timely manner is also part of the job. Finally, the position requires reviewing performance analytics, vendor feedback, and Field Operations input to identify potential contract improvements and other areas of opportunity.
