About the position

The position involves coordinating the activities of the Department of Neurology Chair's office at St. Joseph's Hospital and Medical Center. The role requires effective communication and management of diverse administrative functions, serving as a liaison between various stakeholders including hospital executives, faculty, and patients. The coordinator will oversee faculty recruitment processes, manage guest speaker events, and ensure compliance with regulatory needs, all while maintaining effective communication and prioritization of daily business activities.

Responsibilities

  • Coordinate Department of Neurology Chair's office activities ensuring prioritization of daily business and effective communication.
  • Act as a liaison between the Chair and various internal and external stakeholders including hospital staff and patients.
  • Collaborate with the executive team to coordinate neurology faculty recruitment site visit programs.
  • Facilitate candidate employment offer letters and related documentation on behalf of the Chair and senior executives.
  • Manage the recruitment ad process, including developing, posting, and tracking ads across various platforms.
  • Plan and facilitate site visit itineraries for candidates, including interviews and social events.
  • Support the scheduling of guest speakers for Neurology Grand Rounds and manage their site visit itineraries.
  • Develop and manage the Neurology SharePoint faculty bi-annual reporting function and processes.
  • Review protocols and maintain databases to ensure regulatory compliance.

Requirements

  • Bachelor's degree or a minimum of 5 years related experience.
  • 5 years of related experience in job-related training and documentation compliance.

Nice-to-haves

  • Bachelor's degree and 7-10 years of job-related experience.
  • 7-10 years of supporting senior leadership executives.
  • Physician transaction training related to hospital and physician relationships.
  • Basic knowledge of Medical Terminology 101/201.
