About the position

The Nursing Administrative Assistant at Gracedale Nursing Home provides advanced secretarial support to the Nursing Administration, requiring independent action, advanced office administration knowledge, and superior customer service skills. The role involves maintaining professionalism in communication and behavior with co-workers, residents, and the public, while managing various administrative tasks to support nursing operations.

Responsibilities

  • Demonstrates superior customer service skills and greets visitors professionally.
  • Manages correspondence for the Assistant Director of Nursing and Director of Nursing.
  • Creates and maintains spreadsheets with accuracy and attention to detail.
  • Manages calendars and coordinates meetings for Nursing Administration.
  • Maintains credentials for all Nursing personnel, including agency staffing.
  • Reviews application materials and schedules interviews for Nursing positions.
  • Prepares Vacancy Reports and PANs, and forwards to Human Resources.
  • Oversees position control process and maintains accurate spreadsheets.
  • Processes disciplinary action reports and maintains compliance spreadsheets.
  • Recommends changes in office procedures and workflow to improve efficiency.
  • Assists with staffing needs and vacation scheduling of Nursing personnel.
  • Establishes and maintains filing systems, including databases and paper files.
  • Coordinates communications during the Department of Health annual survey.
  • Manages special projects as assigned.

Requirements

  • High school diploma or equivalent.
  • At least two years of advanced clerical work experience in an office environment.
  • Proficiency in Word and Excel.
  • Completion of Feeding Program training.
  • Proof of full COVID-19 vaccination.
