About the position

The Nursing Operations Coordinator at Butler Hospital is a part-time position responsible for coordinating and assisting Nursing Administration with various tasks essential for the smooth operation of the nursing departments. This role involves maintaining data collection, tracking, and auditing various data to ensure compliance and efficiency within the Inpatient Assessment Center (IAC) and the Inpatient Nursing Departments. The coordinator will work closely with the Chief Nursing Officer (CNO), Assistant Chief Nursing Officers (ACNOs), and their designees to compile and maintain data for various reports, assist in tracking staff absences and tardiness, and counsel staff regarding the Leave of Absence (LOA) process while keeping appropriate documentation. In addition to these responsibilities, the Nursing Operations Coordinator will oversee the completion of mandatory trainings for staff, manage updated staff licenses and records in the IAC, and assist with payroll processes. This includes identifying discrepancies in payroll and making necessary adjustments promptly. The coordinator will also notify IAC providers regarding missed billings and follow up on missing documentation to ensure all services are properly billed. Furthermore, the role involves organizing and distributing weekend and holiday administrative coverage, as well as managing staff holiday coverage schedules for the IAC. The coordinator will review and manage daily IAC department and nursing reports, including tracking reports for inpatient units, and will document and distribute meeting minutes as required.

Responsibilities

  • Compile and maintain data collection for various reports in the Inpatient Assessment Center (IAC) and nursing administration as assigned by CNO or ACNOs.
  • Assist in tracking staff absences and tardiness for worker's compensation, FMLA, and long-term illness.
  • Counsel staff regarding the Leave of Absence (LOA) process and maintain appropriate documentation.
  • Oversee staff completion of mandatory trainings and manage updated staff licenses/records in IAC.
  • Assist with payroll in IAC, identify discrepancies, and make necessary adjustments in a timely manner.
  • Notify IAC providers regarding missed billings and follow up on missing documentation.
  • Organize and distribute weekend/holiday administrative coverage for IAC.
  • Organize and distribute staff holiday coverage schedules for IAC.
  • Review, manage, and distribute daily IAC department and Nursing reports.
  • Review department tracking reports for IAC and inpatient units, notifying the Department Manager of discrepancies.
  • Perform other auditing tasks as requested for Inpatient Nursing units.
  • Document and distribute meeting minutes.

Requirements

  • High School diploma with some college courses required; Associate's Degree preferred.
  • Proficiency in Microsoft Outlook and Excel.
  • Experience working with various computer applications.
  • Excellent communication and interpersonal skills.
