The Nursing Unit Administrative Secretary (NUS) plays a crucial role in providing a supportive, customer-focused introduction to Maine Medical Center. This position involves continuous professional interaction with customers while delivering full clinical support. The NUS is an essential member of the healthcare team, responsible for directing the flow of the unit in collaboration with lead positions to ensure a safe, patient- and family-centered care environment. This role requires advanced involvement in unit projects and hospital-wide activities, necessitating strong decision-making, prioritization, resource allocation, and communication skills. The NUS must be adept at managing multiple tasks in a high-stress environment, ensuring that all operations run smoothly and efficiently. In addition to administrative duties, the NUS is expected to maintain a high level of accountability and accuracy in their work. This includes managing patient charts, ordering supplies, and utilizing various computer systems and applications for data collection and patient charging. The role demands excellent verbal and written communication skills, as well as a thorough understanding of the policies and procedures of the unit, the Department of Nursing, and Maine Medical Center. The NUS must also demonstrate discretion and independent thinking, particularly when addressing initial issues, complaints, and problems that may arise in a fast-paced setting. Furthermore, the NUS is required to possess a basic working knowledge of standard office equipment and must have completed customer service training. The ability to remain impartial and professional while interacting with patients, visitors, and staff is essential. The NUS may also serve as a leader in unit-based or institutional committees, contributing to quality improvement initiatives and other projects aimed at enhancing patient care and operational efficiency.

Responsibilities

  • Provide full clinical support and customer-focused service to patients and visitors.
  • Direct the flow of the unit in collaboration with lead positions.

Requirements

  • Three years of secretarial experience, with at least one year at Maine Medical Center.
  • Completion of Medical Terminology NUS Course.
  • Excellent verbal and written communication skills.
  • Knowledge of policies and procedures, current initiatives, and organizational structure of the unit and Department of Nursing.
  • Strong accountability, accuracy, time management, and independent thinking skills.
  • Discretion and judgment in handling sensitive information and situations.
  • Basic working knowledge of standard office equipment and multiple computer system applications.
  • Ability to perform in a high-stress, high-volume environment with multiple stimuli.
  • High level of interpersonal skills necessary for effective communication with internal and external customers.
