The Nursing Unit Secretary (NUS) is responsible for directing the flow of the unit in collaboration with lead positions, thereby supporting a safe, patient-centered care environment. This role requires advanced involvement in unit projects and hospital-wide activities, making it integral to the overall functioning of the healthcare team. The NUS will engage in various tasks that require strong decision-making abilities, prioritization skills, resource allocation, and effective communication. The position demands a high level of accountability and accuracy, as well as the ability to manage time effectively while working independently. The NUS must possess a working knowledge of medical terminology and be able to navigate a high-volume, high-stress environment with multiple stimuli. This includes maintaining patient charts, managing supply orders, and utilizing various computer systems and applications to support clinical operations. In addition to administrative duties, the NUS is expected to facilitate initial issues, complaints, and problems while remaining impartial and professional. The role also involves leading or contributing to unit-based or institutional committees focused on quality improvement initiatives. The ideal candidate will have excellent verbal and written communication skills, a positive attitude, and the ability to respond quickly to the needs of patients, visitors, and staff. This position is not only about performing tasks but also about fostering a collaborative and supportive atmosphere within the healthcare team.

Responsibilities

  • Provide clerical and administrative support to the Nursing Intensive Care Unit (NICU).
  • Direct the flow of the unit in collaboration with lead positions to ensure patient-centered care.
  • Maintain patient charts and manage supply orders efficiently.
  • Utilize various computer systems and applications for data collection and patient charging.
  • Facilitate initial issues, complaints, and problems in a professional manner.
  • Engage in unit-based or institutional committees focused on quality improvement initiatives.
  • Communicate effectively with patients, families, and healthcare staff to provide excellent customer service.

Requirements

  • Three years of secretarial experience, with at least one year at Maine Medical Center.
  • Excellent verbal and written communication skills.
  • Knowledge of policies and procedures related to the Department of Nursing and Maine Medical Center.
  • Strong accountability, accuracy, and time management skills.
  • Ability to work independently and think critically in high-stress situations.
  • Basic working knowledge of standard office equipment and multiple computer system applications.
  • Ability to perform in a high-volume, high-stress environment with multiple stimuli.
  • Completion of Customer Service Classes and meeting criteria for NUS level I.
