About the position

The Customer Service Representative I position at the Office of the Attorney General (OAG) involves serving as the primary interface between the agency and the public. This role is essential for managing incoming inquiries via phone, mail, or email, and ensuring that they are addressed appropriately. The representative will assist with clerical tasks, maintain filing systems, and support the overall operations of the Constituent Affairs Division. This position is vital for providing excellent customer service and maintaining the agency's communication with the public.

Responsibilities

  • Responds to inquiries to the main OAG switchboard by providing information and referrals; records required information as needed.
  • Assists with clerical tasks, reports, and other duties as assigned.
  • Maintains various internal tracking and filing systems.
  • Reads and routes agency correspondence; prepares outgoing mail, courier requests.
  • Greets visitors, responds to inquiries, and directs them to appropriate staff.
  • Maintains relevant knowledge necessary to perform essential job functions.
  • Attends work regularly in compliance with agreed-upon work schedule.
  • Ensures security and confidentiality of sensitive and/or protected information.
  • Complies with all agency policies and procedures, including those pertaining to ethics and integrity.

Requirements

  • Graduation from high school or equivalent.
  • One year of full-time experience in administrative support, customer services, or public information; may substitute thirty credit hours from an accredited college or university on a year-for-year basis.
  • Skills in using a computer for word-processing and data entry/retrieval.
  • Skill in handling multiple tasks, prioritizing, and meeting deadlines.
  • Skill in effective oral and written communication.
  • Skill in exercising sound judgment and effective decision making.
  • Ability to handle stressful situations.
  • Ability to receive and respond positively to constructive feedback.
  • Ability to work cooperatively with others in a professional office environment.
  • Ability to provide excellent customer service.
  • Ability to work in person at assigned OAG work location and perform all assigned tasks at designated OAG work space.
  • Ability to arrange for personal transportation for business-related travel.
  • Ability to work 8:00 a.m. - 5:00 p.m., Monday through Friday.
  • Ability to work more than 40 hours as needed and in compliance with the FLSA.
  • Ability to lift and relocate 30 lbs.
  • Ability to travel (including overnight travel) up to 5%.

Nice-to-haves

  • Bachelor's degree from an accredited college or university; experience in the following (or closely related) fields may be substituted for the required education on a year-for-year basis.
  • Experience with multi-line switchboard and clerical tasks.
  • Knowledge of state government operations.
  • Skills in data entry, word-processing, mail merger, and using the Internet.
  • Customer service skills.
  • Ability to proficiently read, write, and speak English and Spanish.
  • Ability to type 35 wpm.
