About the position

The Office Admin/Bookkeeper at Art Newsome, Inc. is responsible for managing essential accounting functions, including accounts payable, accounts receivable, payroll, and employee benefits. This role plays a key part in the financial and administrative operations of the company, requiring proficiency in bookkeeping, accounting software, and payroll systems. The position is integral to ensuring accurate financial reporting and maintaining effective cash management and contract oversight.

Responsibilities

  • Manage accounts payable by entering, coding, and posting invoices.
  • Request receipts and code credit card transactions for statements.
  • Select and print weekly AP checks and inform subcontractors about payment statuses.
  • Disburse and record petty cash; run month-end AP reports.
  • Reconcile accounts payable to the general ledger monthly and file quarterly sales tax reports.
  • Address accounts receivable issues and report discrepancies.
  • Review monthly and year-end aging reports to ensure AR and GL balance.
  • Process weekly payroll for employees and manage payroll deductions and garnishments.
  • Assist in preparing employee benefit packets and coordinate with insurance agents.
  • Maintain and reconcile transactions across multiple bank accounts.
  • Set up and manage contracts for commercial jobs and handle change orders.
  • Prepare monthly billing reports and ensure accuracy in billings.
  • Record journal entries and reconcile financial statements.

Requirements

  • Proven experience in bookkeeping and office administration.
  • Proficiency in accounting software (e.g., Sage, QuickBooks) and Microsoft Office Suite.
  • Strong organizational and multitasking skills.
  • Excellent attention to detail and problem-solving abilities.
  • Familiarity with payroll processing, tax filing, and benefits administration.
  • Effective communication and interpersonal skills.
