The Office & Admin Special Senior position at Winona State University involves providing executive-level administrative support to the AVP of Equity & Inclusive Excellence and the Dean of Students. In addition to administrative tasks, the role requires developing and processing correspondence for faculty, students, and various cultural and diverse student organizations. The Office & Admin Special Senior will also handle travel requisitions, monthly budgets, expense reports, and purchase orders, while scheduling meetings and appointments for the AVP and Dean of Students. Establishing efficient office methods, procedures, and standards is essential for maximizing productivity. The individual will also monitor general email accounts and manage an internal system for document storage and retrieval, ensuring compliance with FERPA regulations regarding confidential information. The position also involves crisis management responsibilities, where the individual will serve as the initial point of contact for student emergencies and absences, coordinating communication with necessary departments and officials. The role includes supervising approximately 15 student employees, training them on office procedures, and ensuring the completion of tasks. Additionally, the Office & Admin Special Senior will co-coordinate special events and programs, manage databases for the departments, monitor and balance budgets, and administer scholarship awards. The individual will perform other duties as assigned to ensure the smooth functioning of the departments and maintain the organization's reputation as a viable business partner.
