About the position

The Office/IT Support Specialist at NikSoft Systems Corp. in Reston, VA, is a full-time position that requires a unique blend of customer service, administrative, and technical support skills. The ideal candidate will be responsible for a variety of administrative and office management tasks that are essential for the smooth operation of the office. This includes managing the badging process for new employees, generating shipping labels, and overseeing the management of incoming and outgoing mail. The role also involves supporting a timekeeping system utilized by over 200 end users, which requires daily and weekly entries, as well as a bi-monthly review and closeout of timekeeping reports. In addition to these responsibilities, the Office/IT Support Specialist will be tasked with laptop ordering, provisioning, resets, and basic troubleshooting. The position also plays a crucial role in the onboarding and offboarding processes for new users, ensuring that all necessary steps are taken to integrate new employees into the company and to properly manage the exit of departing employees. The candidate must demonstrate strong analytical skills and the ability to make recommendations and take action in often ambiguous situations, all while maintaining high work standards and attention to detail. The role requires excellent communication skills, both oral and written, as well as a strong customer service orientation, which is vital for interacting with both internal and external stakeholders. The candidate should be receptive to feedback and eager to learn, with a strong proficiency in Microsoft Office programs, including Word, Excel, PowerPoint, Outlook, and MS Teams.

Responsibilities

  • Perform administrative and office management tasks including badging for new employees.
  • Generate shipping labels and manage incoming/outgoing mail.
  • Support a timekeeping system used by 200+ end users, requiring daily/weekly entries and review/closeout twice a month.
  • Conduct weekly/monthly reconciliation of timekeeping reports between multiple systems.
  • Order, provision, reset, and troubleshoot laptops.
  • Support the New User Onboarding and Offboarding process.

Requirements

  • 2+ years of administrative and/or technical support experience in an office environment.
  • Excellent communication skills (both oral and written).
  • Strong internal and external customer service orientation.
  • Strong analytical skills with proven experience in making recommendations and taking action in ambiguous situations.
  • High work standards and attention to detail.
  • High receptivity to feedback and willingness to learn.
  • Strong proficiency in Microsoft Office programs (i.e., Word, Excel, PPT, Outlook, MS Teams).
