About the position

We are currently seeking an Office Admin to join our growing team in Kansas City, KS. This position plays a crucial role in supporting the Branch and Area Managers as well as the Region Accounting team to ensure timely and accurate reporting of sales, billing, time worked, and collections. The Office Admin will be responsible for various administrative tasks that are essential for the smooth operation of our office and will work closely with field employees to facilitate communication and training. The Office Admin will be expected to have a strong command of computer applications, particularly Microsoft Word and Excel, to manage and prioritize projects effectively. Responsibilities include receiving time sheets, rental tickets, and purchase receipts from the field, submitting these documents to customers in an electronic format for approvals, and inputting field data into internal systems for tracking purposes. Additionally, the role involves invoicing approved billing items to customers and managing field safety documentation within our electronic systems. The Office Admin will also assist with new hire paperwork, onboarding safety, and I9 verification, ensuring compliance with company policies. Communication is key in this role, as the Office Admin will interact with field employees to provide training and assist in completing online training required by BrandSafway and/or customers. The ideal candidate will have a high school diploma or GED, at least 2 years of office or general administrative work experience, and the ability to work independently while maintaining a high level of accuracy and attention to detail. This position requires reliable transportation and the ability to work from 7 am to 3:30 pm. Physical demands may include visiting job sites as needed, which adds a dynamic aspect to the role.

Responsibilities

  • Work closely with Branch and Area Managers and Region Accounting to ensure timely, accurate reporting of sales, billing, time worked, and collections.
  • Receive time sheets, rental tickets, and purchase receipts from the field and submit to customers in electronic format for approvals.
  • Input field data into internal systems for tracking purposes.
  • Invoicing of approved billing items to customers.

Requirements

  • High school diploma or GED.
  • 2+ years of office or general admin work experience is preferred.
  • Proficiency in Microsoft Office, particularly Word and Excel.
  • Ability to work independently and prioritize projects effectively.
  • Great attention to detail and ability to maintain focus for extended periods of time.
