About the position

The Office Admin position at Builders FirstSource is a vital role responsible for a variety of general administrative and office operations support activities. This position serves as the first point of contact for visitors, ensuring that they are greeted warmly and that their needs are addressed promptly. The Office Admin will manage the reception area, determining the nature of visitors' business and notifying the appropriate staff members while adhering to office security protocols. In addition to reception duties, the Office Admin will prepare routine correspondence, office forms, and other business-related documents. Daily tasks will include data entry and retrieval functions, as well as handling accounts payable and accounts receivable duties. The role also involves managing incoming and outgoing mail and interoffice communications, ensuring that all correspondence is handled efficiently. The Office Admin may also be responsible for ordering and coordinating service parts for windows and exterior doors, maintaining office supply inventory, and arranging meetings and conferences, including calendar management and travel reservations. Safety is a priority in this role, and the Office Admin is expected to understand and observe all safety procedures to prevent injury to themselves and coworkers. Participation in periodic safety meetings is required, and the Office Admin may recommend changes to improve safety practices. Other duties may be assigned as needed, making this a dynamic and essential position within the office.

Responsibilities

  • Serve as office receptionist, greeting visitors and notifying appropriate staff members while ensuring office security measures are followed.
  • Prepare routine correspondence, office forms, and other business-related documents.
  • Perform daily data entry and retrieval functions.
  • Handle accounts payable and accounts receivable duties daily.
  • Manage incoming and outgoing mail and interoffice communications.
  • Coordinate ordering of window and exterior door service parts.
  • Perform office supply inventory and replenishment services.
  • Arrange meetings and conferences, maintain calendars, and make travel reservations.
  • Understand and observe all safety procedures and practices to prevent injury to self or coworkers; attend periodic safety meetings and recommend changes to improve safety procedures.

Requirements

  • High school diploma or General Education Degree (GED).
  • One (1) year of administrative or related experience, or an equivalent combination of education and experience.
  • Customer service skills.
  • Good verbal and written communication skills.
  • Ability to apply common sense understanding to carry out written or oral instructions.
  • Proficiency in Microsoft Office Suite.
