About the position

As an Office Administrator at Green Bear Solutions, you will play a key role in ensuring the smooth and efficient operation of our office. You will be responsible for managing administrative tasks, supporting various departments, and maintaining a welcoming and productive work environment. Responsibilities

  • Oversee day-to-day office operations, including managing office supplies, coordinating maintenance, and ensuring a clean and organized workspace.
  • Provide administrative support to various departments, including scheduling meetings, managing calendars, and handling correspondence.
  • Greet visitors, answer incoming calls, and manage the front desk, ensuring all guests receive a warm and professional welcome.
  • Maintain and organize company documents, files, and records, ensuring they are up-to-date and easily accessible.
  • Assist in planning and coordinating company events, meetings, and team-building activities.
  • Coordinate travel arrangements for employees, including booking flights, hotels, and transportation.
  • Assist with onboarding new employees, maintaining employee records, and supporting HR initiatives as needed.
  • Manage petty cash, process expense reports, and assist with basic bookkeeping tasks.
  • Liaise with office vendors, service providers, and landlords to ensure smooth operations.

Requirements

  • Proven experience as an Office Administrator, Office Manager, or in a similar administrative role.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal skills, with a friendly and professional demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Familiarity with office management procedures and basic accounting principles.
  • Ability to work independently and as part of a team, with a proactive and resourceful approach.
  • High attention to detail and problem-solving skills.
  • Experience in a fast-paced environment is a plus.
