About the position

We are seeking a dedicated and organized Office Administrator to join our team. The ideal candidate will be responsible for managing daily office operations, providing clerical support, and ensuring a welcoming environment for both staff and visitors. This role requires excellent communication skills, attention to detail, and the ability to multitask effectively in a fast-paced setting.

Responsibilities

  • Oversee daily office functions, including managing schedules, coordinating meetings, and maintaining office supplies.
  • Provide clerical support such as data entry, filing, and document management.
  • Answer phone calls with professionalism and courtesy, demonstrating strong phone etiquette.
  • Greet visitors at the front desk, ensuring a positive first impression of the organization.
  • Assist in maintaining accurate records and databases while ensuring confidentiality.
  • Utilize computer software for various administrative tasks, including word processing and spreadsheet management.
  • Support bilingual communication efforts by assisting Spanish-speaking clients or staff as needed.

Requirements

  • Proven experience in office management or administrative roles is preferred.
  • Strong clerical skills with a focus on accuracy in data entry and documentation.
  • Familiarity with front desk operations and customer service principles.
  • Proficiency in computer applications; experience with Microsoft Office Suite is highly desirable.
