About the position

The Office Administrative Manager will play a crucial role in maintaining a positive and productive work environment for Moffatt & Nichol's Northern California Business Unit, which includes over 40 staff members across the Walnut Creek and Oakland offices. This position involves overseeing administrative operations, serving as the primary point of contact for internal and external inquiries, and ensuring efficient office management. The role is designed for a full-time commitment, with a focus on collaboration and support for the business unit's leaders and staff.

Responsibilities

  • Create a welcoming and functional workplace for employees and guests in the Walnut Creek and Oakland offices.
  • Serve as the primary point of administrative contact for internal and external inquiries.
  • Manage inventory and organization of office supplies and equipment.
  • Coordinate maintenance and registration of the office vehicle.
  • Input and track business unit payable invoices into the company accounting system.
  • Coordinate with IT and HR teams to ensure reliable support for staff.
  • Organize office business and social events, including travel arrangements.
  • Track registration/renewal deadlines for professional licenses and organizations.
  • Provide general clerical support including document preparation and mailing.
  • Maintain office employee work schedule and office calendar.

Requirements

  • Associate's degree or higher or equivalent experience preferred.
  • 5 years or more as an administrative assistant in an office environment, preferably in the AEC industry.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Outstanding communication and interpersonal abilities.
  • A proactive attitude with the ability to anticipate needs and take initiative.
  • Excellent organizational skills.
  • Ability to handle confidential information with discretion.
  • A California driver's license.

Nice-to-haves

  • Experience in the AEC industry is strongly preferred.
