About the position

We are seeking a bilingual (French and English) Office Administrator to manage and coordinate the administrative requirements for our Toronto and Montreal locations. This role involves interfacing with building management, IT, suppliers, and other stakeholders to ensure the smooth operation of office functions. The ideal candidate will have a proactive attitude, excellent communication skills, and the ability to multitask in a dynamic environment. The Office Administrator will be responsible for overseeing all office administrative tasks, ensuring that both locations operate efficiently and effectively. This includes managing vendor relationships, coordinating technical support, and handling office supplies and mail services. The role also requires assisting with staff onboarding and offboarding processes, managing offsite storage, and ensuring the general upkeep of the office environment. Additionally, the Office Administrator will provide support to senior management with travel plans and coordinate events and training sessions as needed. This position is full-time and requires the candidate to be onsite in Toronto, with occasional travel to Montreal.

Responsibilities

  • Bilingual Communication: Must be proficient in both written and oral French and English.
  • Office Management: Oversee all office administrative tasks for both Toronto and Montreal locations.
  • Vendor Coordination: Liaise with building management, cleaning services, IT, and other suppliers for office maintenance and technical matters.
  • Technical Support: Manage laptop/computer equipment maintenance, telephone system settings, copiers, and other leased equipment.
  • Mail and Courier Services: Handle incoming and outgoing mail and courier services efficiently.
  • Office Supplies: Manage and order office supplies to ensure stock availability.
  • Staff Onboarding/Offboarding: Assist with onboarding and offboarding processes for staff.
  • Offsite Storage: Manage offsite storage locations, including material destruction as needed.
  • Office Upkeep: Coordinate teams for kitchen cleanliness, office plant care, and general upkeep.
  • Senior Management Support: Provide minimal assistance with travel plans for senior management visiting Canada.
  • Event Coordination: Manage transportation, catering, space, and equipment requirements for internal training sessions and office events.
  • Software Proficiency: Intermediate-level proficiency in MS Office (Word, Teams, Excel); knowledge of PowerPoint is an asset.

Requirements

  • Must be in the office full-time.
  • Ability to travel to the Montreal office 2-3 times per year.
  • Strong organizational and multitasking skills.
  • Excellent communication skills in both French and English.
  • Proficiency in MS Office (Word, Teams, Excel) with PowerPoint being an asset.
