The Administrator/Accounting Assistant will work closely with the Company's Operations / Financial Manager in fulfilling a variety of administrative tasks as well as assisting with accounting tasks. This is a hands-on role in a small to medium-sized company, where the individual will be responsible for a range of duties that support both the administrative and financial operations of the organization. The role requires a proactive approach to managing tasks and responsibilities, ensuring that all administrative functions are executed efficiently and effectively. Key responsibilities include preparing correspondence, memos, emails, and faxes as directed, as well as filing various company and executive statements, correspondence, and forms both internally and with city or state authorities. The Administrator/Accounting Assistant will also handle all office photocopying, faxing, scanning, binding, filing, and mailings, ensuring that all documentation is organized and accessible. In addition to administrative tasks, the role involves overseeing occasional research and investigating various inquiries, as well as supporting marketing and sales initiatives. This includes responding to Google and Yelp reviews about the company's facilities and staff, ensuring that the company maintains a positive image and is responsive to market feedback. The position also provides strong support in Accounts Payable, including printing out and allocating all corporate credit cards through appropriate websites, opening mail, and ordering supplies for all company locations. The Administrator/Accounting Assistant will maintain the filing of documents for all corporate entities, both online and in hard copies, and will work consistently with the Operations/Financial Manager in sending and handling various other assignments as requested. Completing other tasks, duties, and special projects as assigned by the executive team is also part of the role, making it essential for the individual to be adaptable and willing to take on new challenges as they arise.
