About the position

The Office Administrator/Accounts Payable Specialist at Centra Companies is a vital role responsible for managing the CFO's schedule and communications, overseeing accounts payable processes, and providing essential office support. This position combines administrative duties with financial responsibilities, ensuring the smooth operation of the office while contributing to the company's growth in residential construction and real estate development.

Responsibilities

  • Manage the schedule and email of the CFO
  • Oversee the personal and professional action list of the CFO
  • Create and maintain an organized folder for the CFO
  • Act as the point of contact for corporate office facility needs, including maintenance and upgrades
  • Receive and distribute daily mail for the company
  • Manage the accounts payable process using accounting software, ensuring timely and accurate payments
  • Review invoices for appropriate documentation prior to payment
  • Properly code and pay all credit card transactions
  • Deposit checks in accordance with company policies
  • Process and pay real estate taxes biannually
  • Screen and direct incoming calls, manage executive email, and prepare documents on behalf of the executive
  • Arrange meetings, conferences, seminars, and other events
  • Perform basic bookkeeping and order office supplies
  • Maintain office supply inventory and order supplies as needed
  • Coordinate and manage all keys for home closings, ensuring timely delivery to the title company
  • Utilize hardware and software technology platforms to support the business

Requirements

  • Bachelor's degree preferred
  • 5+ years of professional experience in office management and/or accounts payables
  • Strong knowledge and proficiency in Google and Microsoft Office products, specifically Excel and Google Sheets
  • Knowledge of Construction Cost Accounting software preferred
  • Strong problem-solving aptitude with creative solutions
  • Ability to organize work with large amounts of information efficiently
  • Manage multiple projects and deadlines simultaneously with strong attention to detail
  • Proactive mentality with self-direction
  • Effective and professional communication skills, both written and verbal
  • Ability to work as a team player
  • Open to skill and knowledge development
  • Willingness to be flexible and adaptable to change
  • Excellent customer service skills
