About the position

The Office Administrator/Administrative Assistant at Gilmore Car Museum is responsible for providing quality customer service to visitors and callers while offering administrative support to the Executive Director, President, and senior staff. This role involves managing various office tasks and ensuring smooth operations within the administrative office.

Responsibilities

  • Greet Visitors
  • Answer and Route incoming Calls & Email
  • Process Incoming/Outgoing Mail
  • Maintain Copy/Mail Room
  • Maintain Reception Area & Conference Room
  • Maintain and stock supplies for employee break room
  • Manage GCM Public and Conference Room Calendars
  • Provide Administrative & Special Project support
  • Provide Board of Trustees & Foundation Member support
  • Provide Advisory Committee support
  • Maintain physical GCM keys (organization, check-in & check out of keys)
  • Other duties as business requirements fluctuate.

Requirements

  • Two to four years of administrative experience
  • Associate degree in Communications, Business Administration, Marketing, or related field
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, Publisher, and PowerPoint)
  • Ability to clearly and professionally communicate both verbal and written
  • Strong attention to detail
  • Ability to manage multiple assignments with changing priorities and deadlines
  • Ability to work under pressure
  • Good organizational skills

Nice-to-haves

  • Experience assisting Executive Management and Board of Trustees members
  • Non-profit background is considered a plus.
