About the position

The Office Administrator/Administrative Assistant at White Cap plays a crucial role in supporting the operations of the company by managing administrative tasks, tracking employee time, and maintaining customer accounts. This position is essential for ensuring smooth communication and efficient workflow within the office, contributing to the overall mission of building trust and supporting major construction projects across North America.

Responsibilities

  • Tracks and updates time in the timekeeping software for associates' hours, vacation, sick time, and personal days.
  • Runs daily, weekly, and monthly reports for freight audits, stock receipts, and other relevant reports.
  • Sets up new job accounts for customers and maintains accounts receivable files.
  • Creates manifests for customer purchases.
  • Prepares and codes invoices.
  • Matches customer pick-up and delivery tickets for accuracy.
  • Provides operational support as assigned by the manager.
  • Answers multi-line phone and routes calls to appropriate personnel.
  • Performs other duties as assigned.

Requirements

  • Mid-level experience in administrative roles (2-5 years).
  • Certified Administrative Professional certification preferred.
  • Strong computer skills.
  • Excellent communication skills.
