In this role as an Office Administrator (Bilingual), you will be responsible for the accurate and timely execution of various administrative functions that support our Branch operations. Your contributions will help maintain a positive and professional working environment that reflects our organization's mission, vision, and values. As an Office Administrator, you will perform general clerical duties and provide administrative support for Branch Operations. This includes assisting with office operations, workflow, and procedures, as well as monitoring inventory and managing requests for office supplies and personal protective equipment (PPE). You will also be responsible for managing project-based work, following up on tasks, and reporting results to keep management informed. Your role will require you to maintain and protect sensitive company data by adhering to internal security controls, manage purchase orders, and handle timecard entries and customer billing. In addition to these responsibilities, you will play a key role in Human Resource functions, including time entry, payroll validation, and assisting with employee onboarding and offboarding processes. You will also act as an IT liaison for staff equipment and technology needs, maintain records related to safety training, and assist with audits. Your ability to communicate effectively in both English and Spanish will be essential in this role, as you will be answering general questions from employees and assisting with recruitment efforts for field personnel. Overall, your professionalism and attention to detail will be crucial in contributing to a culture of excellence within our organization.

Responsibilities

  • Provide general clerical duties and administrative support for Branch Operations.
  • Assist with office operations, workflow, and procedures.
  • Monitor the inventory of, and requests for office supplies/PPE and complete online ordering.
  • Manage project-based work, follow-up, and report results.
  • Keep management informed by reviewing and analyzing special reports, compiling information and identifying trends.
  • Responsible for complying with and meeting all company driven deadlines.
  • Maintain and protect sensitive company data by adhering to internal security controls.
  • Purchase order management.
  • Timecard entry and customer billing.
  • Assist with annual open enrollment and HR initiatives.
  • Assist in onboarding, orientation, and offboarding of employees.
  • Assist with recruitment of field personnel.
  • Maintain a good understanding of local unions.
  • Assist with background checks and safety training.
  • Maintain records and report incidents and injuries including workers' compensation claims.

Requirements

  • High School diploma or equivalent.
  • At least 5 years related work experience.
  • Valid Driver's License.
  • Strong internal and external customer service skills.
  • Ability to demonstrate a positive professional demeanor and contribute to a culture of excellence.
  • Effective oral and written communication skills.
  • Proven track record of very high attention to detail and organization.
  • Ability to work within time constraints with limited supervision.
  • Ability to prioritize workload and change direction quickly depending on deadlines.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to adjust to changing priorities and handle multiple tasks simultaneously, with attention to detail.
  • Basic to intermediate math skills.
  • Intermediate to advanced understanding of the Microsoft Office Suite and ERP systems.
  • Ability to read, write and comprehend English.
  • Ability to read, write and comprehend Spanish, preferred.
