Responsibilities

  • Handling incoming calls and maintaining good rapport with clients, prospective clients, and vendors.
  • Assisting staff members with administrative tasks such as scanning, printing, copying, faxing, and mailing.
  • Maintaining office organization, including supply management.
  • Creating, editing, and reviewing a variety of documents for communication and workflow.
  • Coordinating travel arrangements and scheduling continuing education for staff.
  • Assisting with marketing strategy and basic recordkeeping.
  • Managing accounts payable, accounts receivable, and vendor/customer management.
  • Monitoring customer receipts and managing time and billing.
  • Assisting with tax-related tasks and organizing client tax folders.
  • Assisting with investment documentation and compliance communications.

Requirements

  • 3 to 7 years of total experience in a professional services firm (e.g., CPA, law, or financial services).
  • Proficiency in MS Office and Office 365 (Word, Excel, PowerPoint, Outlook, TEAMS).
  • Working knowledge of QuickBooks Desktop and/or Online or similar accounting software.
  • Familiarity with tax software like CCH Axcess tax is preferred.
  • Bilingual skills are a plus due to a diverse client base.
  • Highly skilled in organization, detail-oriented, and capable of multitasking.

Nice-to-haves

  • Notary Public license preferred.
  • Experience in handling tax-related tasks and investment documentation.
