About the position

The Office Administrator/Business Administrator will play a crucial role in managing the administrative functions of a Christian faith-based church. This position involves overseeing facilities management, operations, human resources administration, and financial management while ensuring compliance with relevant laws and guidelines. The ideal candidate will embody the church's values and maintain strong relationships with staff, volunteers, and vendors.

Responsibilities

  • Develop and maintain excellent relationships with session, staff, volunteers, vendors, and contractors.
  • Ensure compliance with Local, State, and Federal laws and guidelines.
  • Manage the maintenance and safety of the campus.
  • Hire vendors/contractors and oversee campus repairs (plumbing, mechanical, electrical).
  • Negotiate contracts and maintain excellent relationships with vendors and contractors.
  • Be on-call for campus emergencies.
  • Maintain General Liability Insurance Coverage.
  • Advise on campus renovation projects.
  • Provide and administer a comprehensive facilities use policy.
  • Work with outside groups regarding the use of the church's facilities.
  • Supervise all 3 administrative staff coworkers.
  • Manage corporate administration.
  • Oversee church communications.
  • Administer contracts.
  • Prepare and implement approved policies and procedures.
  • Oversee IT and database management systems and equipment.
  • Manage and administer employee compensation and benefits (Health & Welfare Plan and 403b).
  • Oversee Payroll and maintain Personnel Files.
  • Oversee Workers' Compensation claims.
  • Ensure compliance with Local, State, and Federal employment laws and guidelines.
  • Assist with hiring and termination processes.
  • Manage production of financial statements and provide analysis and recommendations.
  • Present report on the financial status to Session (Board of Trustees).
  • Maintain and enforce controls to ensure the security of funds and accurate record-keeping.
  • Manage cash income process (Income Management Team).
  • Maintain relationships with third-party financial institutions and vendors such as accounting and audit firms.

Requirements

  • Senior level experience in office administration or business administration.
  • Strong understanding of facilities management and operations.
  • Experience in human resources administration and compliance with employment laws.
  • Financial management skills, including the ability to produce financial statements and analysis.
