About the position

The Office Administrator position in our Chicago office is a full-time role that involves a variety of responsibilities related to office management and facilities support. The individual will be responsible for keeping track of all non-tech equipment, managing vendor interactions, and ensuring the smooth operation of office supplies and services. This role requires a valid driver’s license as the office has four vehicles that may need to be utilized for various tasks.

Responsibilities

  • Keeping track of all non-tech equipment, including art, furniture, office chairs, cabinets, etc.
  • Managing vendor interactions, including HVAC inspections and communications with client personnel.
  • Coordinating with shredder companies for weekly/bi-weekly pickups.
  • Handling Fedex/UPS/DHL orders.
  • Managing ISP inspections and updates.
  • Overseeing pantry products and service requests.
  • Coordinating Canon printer maintenance and print reports.
  • Requesting and distributing parking or building access cards.
  • Tracking physical keys in the fireproof safe.
  • Ordering printer ink, toner, and paper.
  • Managing coffee and water orders for employees and guests.
  • Maintaining contact with vendors for medicine cabinet supplies and AED machine services.
  • Preparing for weekend work, including power shutdowns and IT ticket management.
  • Answering the door for deliveries or guests.
  • Conducting inventory checks on emergency supplies at workstations.
  • Updating iOffice software for seating charts and new users.
  • Maintaining COVID supplies and signage.
  • Acting as office fire warden and completing necessary safety training.
  • Addressing other facilities-related matters as they arise.

Requirements

  • 2 years of related experience.
  • Strong vendor management skills.
  • Strong verbal and written communication skills.
  • Good organizational skills.
  • PC Skills — Word, Excel, Sharepoint.
  • Ability to work independently.
