About the position

LOGISTEED-America is seeking an Office Administrator to join our team in Salt Lake City, Utah. As a global leader in the Freight Forwarding and Contract Logistics field, we recognize that our employees are our greatest strength. This position is essential in supporting the daily operations of our office and ensuring that we deliver high-quality transportation and logistics services. The Office Administrator will report directly to the General Manager and will be responsible for a variety of clerical duties that contribute to the overall success of the organization. In this role, you will be expected to perform tasks that require excellent organizational skills and the ability to multi-task in a fast-paced, high-pressure environment. Your responsibilities will include managing communications, greeting guests, answering phone calls, and handling various administrative tasks. You will also assist in the preparation of financial and operational reports, track inventory, and support warehouse operations as needed. The ideal candidate will possess a positive attitude, strong customer relations skills, and a detail-oriented approach to their work. The Office Administrator will play a key role in ensuring that our operations run smoothly and efficiently. You will be expected to communicate effectively with both internal teams and external partners, and to contribute to continuous improvement initiatives within the organization. Responsibilities

  • Perform clerical duties to support daily operations
  • Manage communications and greet guests upon arrival
  • Answer and route phone calls, manage mail and courier services
  • Distribute group emails and handle various administrative tasks
  • Assist the General Manager with all aspects of the Contract Logistics function
  • Help identify continuous improvement initiatives
  • Prepare reporting for daily and weekly performance, global KPIs, and P&L documentation
  • Create financial and operational reports to reflect progress and areas of improvement
  • Track inventory and draft Purchase Orders
  • Participate in training on company policies and procedures
  • Support warehouse operations and assist with periodic inventory as needed

Requirements

  • High school diploma or GED
  • Minimum of 1 year experience in a fast-paced logistics or manufacturing environment
  • Proficiency in Microsoft Word and Excel
  • Bilingual in English and Japanese preferred
  • Strong attention to detail and organizational skills
  • Ability to communicate effectively both orally and in writing
  • Experience with Warehouse Management Systems (WMS) is a plus
  • Ability to work independently and as part of a team
  • Strong problem-solving and time management skills

Nice-to-haves

  • Bachelor's degree preferred
  • Experience in project management
  • Knowledge of Lean and 5S concepts
  • Ability to understand safety requirements and regulations (OSHA)
  • Experience in customer service
