The Office Administrator/Dispatcher role involves providing clerical support and managing dispatching tasks within the office. The ideal candidate will possess strong communication and organizational skills, along with a good understanding of the Topeka area. Responsibilities include handling incoming communications, scheduling, managing files, invoicing, and performing general administrative duties.

Responsibilities

  • Handling incoming calls and other communications
  • Scheduling jobs
  • Preparing tickets and work orders
  • Daily deposits
  • Ordering and maintaining supplies and inventory
  • Scanning and filing documents
  • Preparing for the next day’s overview and organization
  • Dispatching for field service technicians and setting appointments
  • Accounts receivable collections
  • Customer appointment scheduling
  • Ordering and tracking office supplies

Requirements

  • High school diploma or GED
  • Excellent verbal and written communication skills
  • Previous office experience preferred
  • Ability to greet customers in a professional and courteous manner
  • Self-motivated with good people skills
  • Experience in QuickBooks
  • 1 year of scheduling/dispatching experience preferred
  • Valid Driver's License
