About the position

The Office Administrator / Export Assistant at STS Innovation, Inc. is responsible for managing the daily operations of the office, ensuring efficient administrative processes, and providing support for export and accounting tasks. This role requires effective communication with international partners and attention to detail in handling shipping and financial documentation.

Responsibilities

  • Perform basic administrative work such as emailing, answering phones, and faxing.
  • Proof shipping documents against shipping instructions and give instructions to forwarders and/or shippers.
  • Issue invoices and other required documents using the company system by entering data from the shipping documents.
  • Communicate with overseas offices and business partners such as suppliers, forwarders, shipping companies, as well as agents regarding shipping needs from the clients.
  • Assist with Accounting-related tasks including General Ledger, data entries using MS Dynamics GP, and balance sheets.
  • Handle discrepancy notices or other banking related cases for payment/documents/Letter of Credit status.
  • Other duties as assigned.

Requirements

  • Fluency in Japanese - Professional Working to Native Level is a big plus.
  • 1+ year of office related experience desirable.
  • Proficient in Microsoft Office Suite (Word and Excel).
  • Ability to perform under fast paced work environment and with deadlines.
  • Excellent communication skills and critical thinking skills.
  • Ability to follow directions precisely and pay attention to details.
  • Multitasking, organizational, and detail oriented.
