About the position

The Office Administrator (OA) plays a crucial role in supporting the Office Manager and the leadership team by managing various administrative tasks. This position is responsible for preparing essential documents, coordinating office operations, and ensuring effective communication with site supervisors and clients. The OA will also oversee staff schedules, manage office supplies, and ensure timely delivery of contract requirements.

Responsibilities

  • Assist the Office Manager with administrative support activities.
  • Prepare reports, presentations, memorandums, proposals, and correspondence.
  • Assign jobs and duties to office staff as needed.
  • Monitor office operations and schedules appointments for executives.
  • Serve as the go-to for office inquiries and conflicts.
  • Manage staff schedules and track office supply inventory.
  • Approve supply orders and prepare the Contract Deliverables Requirements List (CDRL).
  • Communicate with Site Supervisors, Security Officers, and client Administrative points of contact regarding contractor performance and operational issues.
  • Coordinate phone and in-person interviews.
  • Prepare offer letters, memos, and various human resources correspondence.
  • Generate drug testing orders and background checks.
  • Maintain and update human resources spreadsheets and tracking mechanisms.
  • File personnel information into electronic and physical files.
  • Generate reports through various reporting systems and track human resources actions.
  • Examine employee files to answer inquiries and provide information to authorized persons.
  • Provide customer service to CDC contract employees, candidates, and external vendors/service providers.
  • Assist with meeting, training, room scheduling, and set-up.
  • Process I-9's and conduct e-Verify of new employees.
  • Assist with project travel documentation for pre-authorization and submission to the customer for payment.
  • Make travel arrangements for internal and external employees.
  • Provide assistance with expense reporting in Deltek system.

Requirements

  • High school diploma and a minimum of three years' experience in a similar setting supporting several people simultaneously.
  • Minimum of 6 months experience in office administrative duties.
  • Must have no record or history of illegal drug use, sale, possession, or manufacture during the previous five years.
  • Must be able to pass a Background Check (DOJ Security Risk Assessment) prior to assignment.
  • Required to adhere to all government agency guidelines as it applies to COVID vaccine Attestation/Restrictions.
