The Office Administrator II position within the Water & Sewer Administration is a critical role that involves a variety of administrative tasks essential for the smooth operation of the department. This position requires a high level of organization, attention to detail, and the ability to handle confidential and complex information. The Office Administrator II will be responsible for supporting the administrative functions of the Water & Sewer Administration, ensuring that all office operations run efficiently and effectively. This includes managing correspondence, maintaining records, and assisting with the preparation of reports and documents. The role also involves interacting with various stakeholders, including internal staff and external partners, to facilitate communication and collaboration within the department. In addition to general administrative duties, the Office Administrator II will be expected to utilize software applications such as Microsoft Excel and Word to perform data entry, create spreadsheets, and generate reports. The position may also require the handling of sensitive information, necessitating a strong understanding of confidentiality protocols and data management practices. The ideal candidate will possess excellent communication skills, both written and verbal, and will be able to work independently as well as part of a team. This role is essential for maintaining the operational integrity of the Water & Sewer Administration and supporting its mission to provide quality services to the community.

Responsibilities

  • Manage correspondence and communication for the Water & Sewer Administration.
  • Maintain accurate records and files, ensuring confidentiality of sensitive information.
  • Assist in the preparation of reports and documents as required.
  • Utilize Microsoft Excel and Word for data entry and report generation.
  • Coordinate meetings and schedules for department staff.
  • Provide administrative support to various projects and initiatives within the department.

Requirements

  • Graduation from high school or possession of a General Education Development Certificate (GED).
  • Five (5) years of increasingly responsible experience relevant to the essential tasks listed in this job description.
  • One (1) year experience as an Office Administrator I or equivalent role.
  • Two (2) years handling confidential and/or complex information.
  • Experience working with Microsoft Excel and Word, with a strong command of basic grammar and spelling.

Nice-to-haves

  • Valid Oklahoma Class 'D' Driver License (may be required for some divisions).
  • Experience in a government or municipal office setting.
