About the position

Perma Power is looking for an organized and proactive Office Administrator/Inventory Specialist to manage daily office operations and inventory control. This role involves handling phone calls, payroll, technician scheduling, and ensuring the office environment is tidy and efficient. The ideal candidate will contribute to the smooth functioning of the office while supporting the needs of technicians and field workers.

Responsibilities

  • Ordering generator parts and equipment
  • Receiving all parts into our CRM
  • Allocating parts to technicians
  • Ensuring all technicians and field workers have everything they need to complete their day
  • Tracking warehouse and truck inventory to ensure no inventory is missing
  • Handling phone systems, including answering calls, taking messages, and transferring calls
  • Scheduling service and sales appointments
  • Performing general clerical duties such as filing, photocopying, and data entry
  • Assisting in scheduling maintenance contracts

Requirements

  • Proven experience in office staff or a similar role
  • Strong organizational, multi-tasking, and time management skills
  • Proficiency in Microsoft Office Suite and office software
  • Excellent communication and interpersonal abilities
  • 3-5 years of phone customer service experience
  • Experience in inventory tracking

Nice-to-haves

  • Experience with Service Fusion software
