About the position

The Office Administrator at Scheer Law Group, LLP is a full-time role responsible for managing key financial and administrative functions within a fast-paced litigation law firm. This position involves facilitating accounting tasks, overseeing office operations, and ensuring effective communication with clients and vendors. The ideal candidate will be organized, proactive, and capable of handling multiple responsibilities while maintaining a high level of detail and confidentiality.

Responsibilities

  • Facilitate accounting functions including banking, office budgeting, accounts receivable, accounts payable, and payroll.
  • Manage client fee retainers in the client trust account and prepare key management reports such as financial statements and attorney hours.
  • Oversee day-to-day office operations including information systems and facilities management.
  • Handle client billing and respond to inquiries regarding billing and compliance.
  • Manage vendor relationships for office supplies, equipment, and services.
  • Assist with human resource management and oversee non-attorney personnel.
  • Become familiar with the firm's case management system and maintain secure data/systems.

Requirements

  • At least five years of office administration experience handling billing, accounts receivable, accounts payable, and payroll.
  • Two years of experience in a law office or similar business handling financial and administrative matters.
  • Two years of experience in customer communication with clients or external business professionals.
  • Superior written and verbal communication skills with exceptional attention to detail.
  • Strong organizational skills and the ability to prioritize tasks effectively.
  • Proficient in Microsoft Outlook, Word, and Excel; ability to manage PDF documents.

Nice-to-haves

  • Experience using ProLaw software is helpful but not required.
