About the position

This position will be relocating from Springfield, VA to Chantilly, VA before the end of 2024. We are seeking an Office Administrator for our Springfield office to support our National Products, National Capitol Region, and Analysis & Technical Services Program contracts. The Office Administrator plays a crucial role in ensuring that our employees, who are the Subject Matter Experts working on research and development teams, have the necessary resources, facilities, and equipment to perform their duties effectively. This role also involves interacting with our customers, including government representatives, ENSCO staff, subcontractors, and other contractors, ensuring a welcoming and efficient environment for all visitors. The Office Administrator will be responsible for fostering collaboration within the office, which is key to managing a successful workplace. This includes close coordination with Security, Program Managers, and the Administrative Lead for our group in Cocoa Beach, FL. Effective communication is essential; the Office Administrator must keep Program Managers informed of any situations, problems, or personnel issues that require assistance, as well as provide regular feedback on the office environment and morale. Accountability is a critical aspect of this role, ensuring that assigned tasks are thoroughly completed, personnel have the resources they need, and that priorities are understood and followed. Taking initiative to improve the workplace environment is also a key responsibility. This includes soliciting input from management and employees for improvements and ensuring that our guests have what they need. The primary duties include supporting employee onboarding, coordinating meetings, managing travel arrangements, promoting internal communication, managing software licenses, overseeing facility management, and handling purchasing requests for office supplies and services. The Office Administrator will also be responsible for maintaining conference room schedules and ensuring that all ENSCO and government property is tracked and properly labeled.

Responsibilities

  • Support completion of all onboarding actions for new team members.
  • Coordinate, schedule, and facilitate meetings.
  • Assist with travel arrangements and provide expense report support to the Springfield team.
  • Promote internal communication and employee morale.
  • Manage software licenses, including renewals and maintaining a list of software products.
  • Track and label ENSCO and government property for the Springfield office.
  • Maintain conference room schedules and ensure rooms are ready for use.
  • Produce purchase requisitions for office needs, including furniture and supplies.
  • Complete monthly expense reports and AMEX reconciliations.
  • Procure services necessary for daily operations of the facility.
  • Act as the point of contact for employee office supplies and needs.

Requirements

  • 2+ years of office-related experience.
  • Experience with Microsoft Office suite of tools.
  • Ability to research, evaluate, interpret, and apply rules, regulations, and procedures to various situations.
  • Strong written and verbal communication skills, with the ability to work professionally with peers, management, and contractors.
  • Must be able to obtain and maintain a DOD Secret Clearance, requiring U.S. citizenship.

Nice-to-haves

  • Bachelor's Degree.
  • Active Secret or TS/SCI clearance.
  • Experience managing a SharePoint site.
  • Experience with CostPoint and/or SAP Concur.
