About the position

Bridges International is seeking an Office Administrator to join our team at the Orlando Bridge location. As Florida's largest and fastest-growing Community Re-Entry services provider, we are dedicated to changing lives through our comprehensive re-entry services for ex-offenders and probation populations. The Office Administrator will play a crucial role in supporting the daily operations of our facility, ensuring that all administrative tasks are handled efficiently and effectively. This position requires strong leadership skills and a passion for inspiring and helping others. The Office Administrator will act as a liaison between the site and various corporate departments, ensuring smooth communication and coordination. Responsibilities include managing client Food Stamp procedures, maintaining client files, and assisting with the intake and discharge of clients as directed by the Facility Director. The role also involves working closely with the Facility Director on facility repairs and maintenance, facilitating audits, and gathering receipts and invoices for the accounting department. In addition to these duties, the Office Administrator will be responsible for maintaining clinical rosters, updating logs, and ensuring that all paperwork required for daily operations is completed accurately. The position requires excellent organizational abilities, good written and oral communication skills, and the ability to perform major job functions with or without accommodation. The Office Administrator will also be responsible for keeping inventory of office supplies, managing petty cash expenses, and ensuring the cleanliness of the administrative offices. To be eligible for promotion, candidates must demonstrate their organizational skills and complete supervisory/team building training. This role is essential in supporting the mission of Bridges International, which is to provide a continuum of care for individuals seeking to change their lives.

Responsibilities

  • Act as a liaison between the site and various corporate departments.
  • Manage client Food Stamp procedures as the 'Accounting Clerk' based on regional policies.
  • Assist with the intake and discharge of clients as directed by the Facility Director.
  • Maintain client files and all center-related documentation.
  • Work with the Facility Director on facility repairs and maintenance, including vendor location and pricing quotes.
  • Facilitate outside agency audits in collaboration with the Facility Director.
  • Assist in audits from DC monitors and Children & Family Services.
  • Gather receipts and invoices for submission to the accounting department.
  • Conduct tasks required for the receiving of new inmates as directed by the Facility Director.
  • Update Count Logs, Population Logs, and maintain Clinical Rosters as required.
  • Maintain paperwork for daily operations of the center.
  • Collect intake and discharge paperwork for the corporate trust account supervisor.
  • Input data for MIS and Department of Corrections as instructed by the Facility Director.
  • Schedule, attend, and take minutes at monthly staff meetings as directed.
  • Keep inventory of office supplies and order monthly with Facility Director's approval.
  • Document all petty cash expenses and file documentation appropriately.
  • Handle copying, faxing, and distribution of center documentation as needed.
  • Answer telephone lines as directed by the Facility Director.
  • Ensure cleanliness of the administrative offices.
  • Clock in and out using the company time and attendance system.
  • Report all workers' compensation injuries to the Facility Director immediately.
  • Report breaches of company policy or unsafe conditions to the Facility Director or HR Department.

Requirements

  • High school diploma or GED.
  • Two years of experience in an administrative or assistant capacity.
  • Intermediate to advanced computer skills, especially in Microsoft Excel and Word.

Nice-to-haves

  • Experience with Microsoft Office (1 year preferred).
  • Administrative experience (1 year preferred).
