About the position

The Office Administrator (OA) at Red Bull Distribution Company is a pivotal role that provides essential support to the office environment, ensuring smooth operations and effective communication between various departments. The OA will serve as a liaison between the local region and the Finance and Human Resources Service Center of Red Bull Distribution Company (RBDC). The OA will be responsible for a variety of clerical activities and related tasks that are crucial for the daily functioning of the office. In this role, the Office Administrator will manage the administrative needs of the General Sales Manager (GSM) and support branch operations, which may involve multiple locations. The responsibilities include overseeing all office administrative activities such as handling daily mail, managing FedEx and UPS deliveries, ordering office supplies, and maintaining office equipment. The OA will also provide support to the RBDC Finance and Services Center by processing daily route paperwork, payroll, and customer account inquiries. Additionally, the Office Administrator will perform the Encompass Route Accounting System Daily Balancing Function for all routes in the assigned facility, ensuring that all necessary documentation is collected and maintained. The OA will act as a key partner to the HR Business Partners (HRBPs) by consulting on HR policies and procedures, assisting with new hire paperwork, timecard tracking, and recruiting paperwork. The role requires professional handling of incoming office phone calls, proper filing of documents, and adherence to record retention policies. The OA will also be responsible for planning, coordinating, and organizing various meetings and events, coding and obtaining GM approval for operating expenses, and supporting sales with Tell-Sell calling duties. Compliance with internal policies and state and federal regulations is also a critical aspect of this role, as the OA will assist employees in maintaining necessary records.

Responsibilities

  • Support the regional administrative needs of the General Sales Manager (GSM) and branch operations.
  • Manage all office administrative activities, including daily mail and FedEx/UPS package deliveries and shipments.
  • Order office supplies and maintain office equipment.
  • Provide support to the RBDC Finance and Services Center with daily route paperwork, payroll processing, and customer account inquiries.
  • Perform the Encompass Route Accounting System Daily Balancing Function for all routes in the assigned facility.
  • Act as a key partner to the HRBPs by consulting on HR policies and procedures.
  • Assist RBDC HR Department with new hire paperwork, timecard tracking, and recruiting paperwork.
  • Professionally answer all incoming office phone calls and direct them accordingly.
  • Ensure proper filing and follow record retention policies of pertinent documents.
  • Plan, coordinate, and organize various meetings and events.
  • Code and obtain GM approval for all Operating Expenses.
  • Support sales with Tell-Sell calling duties where applicable.
  • Assist employees in maintaining records required for compliance with internal policy and regulations.

Requirements

  • Prior customer service experience preferred.
  • Human resources experience preferred.
  • Office management experience preferred.
  • Accounting experience is a plus.
  • Strong verbal and written communication skills.
  • Ability to set and handle multiple priorities.
  • Exceptional time management skills and punctuality.
  • Fluency in English; additional languages are an advantage.
