About the position

The Office Administrator/Project Manager at J Paul Studio is a full-time role focused on managing daily office operations and providing exceptional support to the Vice President. The position involves processing customer orders, maintaining organized records, and ensuring smooth communication with clients and vendors in a fast-paced luxury window treatment company.

Responsibilities

  • Accurately process customer orders, ensuring all details are correct and meet the client's specifications.
  • Communicate with clients and sales staff to confirm order details and timelines.
  • Manage order tracking, confirmations, and any changes or updates.
  • Provide administrative support to ensure smooth office operations.
  • Maintain organized records of orders, invoices, and correspondence.
  • Handle phone calls, emails, and inquiries from clients and vendors professionally.
  • Assist with scheduling daily calendar for the Vice President.
  • Support the Vice President with daily tasks and ongoing projects.

Requirements

  • Previous experience in an administrative or order-processing role, preferably in the home improvement or window treatment industry.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in Microsoft Office applications, including Outlook, Word, PowerPoint, Excel, SharePoint, and Teams.
  • Experience with Zoho CRM is a plus.
  • High attention to detail and ability to work under tight deadlines.
  • Customer-focused mindset with a proactive approach to problem-solving.
