About the position

Scythe Robotics is seeking a highly organized and proactive Office Administrator who thrives in a fast-paced environment. In this role, you’ll manage daily office operations, handle key administrative tasks, and create a seamless, well-supported work environment. If you love keeping things running smoothly and enjoy being the go-to person for team support, we’d love to have you on board! Within this role, we expect you to be broadly experienced to be able to 'see around corners', to thrive in a fast-paced, self-managed engineering environment, and to be a collaborative, low ego teammate who helps Scythe realize its big mission. This is a temporary in-office role, based in our Longmont, CO office.

Responsibilities

  • Greet and direct visitors, manage building access, and handle phone inquiries with a welcoming and professional demeanor.
  • Maintain a clean, organized, and welcoming office environment, proactively addressing any workspace needs.
  • Maintain office supplies by monitoring inventory and coordinating with vendors to ensure the team has everything they need.
  • Manage relationships with cleaning crews and ensure a well-maintained, organized, and productive workspace.
  • Develop processes that make the Scythe office a great place to work, supporting a dynamic and engaging office environment.
  • Handle front-office mail and coordinate packages to ensure smooth daily operations.
  • Organize weekly lunches, food orders, and catering for office events, ensuring a great team experience.
  • Assist with scheduling travel for candidates and visitors while ensuring seamless interview logistics.
  • Work with external vendors for office maintenance, IT support, and some facility needs.
  • Support HR or leadership with occasional scheduling, document organization, or office communication needs.

  • You’re a clear and confident communicator who can engage with interdisciplinary teams and ensure smooth office interactions.
  • You have experience as an Office Administrator, Office Manager, or in a similar administrative role, keeping workplaces running smoothly.
  • You are proficient in Microsoft Office Suite (Word, Excel, PowerPoint) with an ability to create and edit documents, manage spreadsheets, and prepare presentations with accuracy and efficiency.

  • Experience in creating seamless experiences for guests, managing logistics, or overseeing facilities.
  • Worked with a Talent Acquisition team to schedule candidate interviews, arrange travel, and support onboarding.
