About the position

A leading law firm in San Diego is seeking an Office Administrator to oversee the daily administrative and operational tasks within the office. This role is pivotal in ensuring the smooth functioning of the office and will report directly to the Managing Partner. As the Office Administrator, you will supervise a variety of administrative support services, which include managing legal secretaries, paralegals, administrative assistants, interns, receptionists, and office services. Your responsibilities will extend to overseeing human resources functions, library and information resources, facilities management, purchasing, and budgeting for all offices. This multifaceted role requires a proactive approach to ensure that all administrative functions are executed efficiently and effectively. In addition to administrative oversight, you will perform essential HR duties such as hiring legal and support staff, onboarding new employees, conducting training sessions, managing performance appraisals, resolving conflicts, overseeing compensation, and maintaining accurate recordkeeping. You will also be responsible for planning and coordinating various events, including Continuing Legal Education (CLE) programs, summer events, holiday celebrations, special events, and other office activities. Maintaining an in-office presence is crucial, as you will actively manage staff and address any office needs that arise.

Responsibilities

  • Supervise administrative support services, including legal secretaries, paralegals, administrative assistants, interns, reception, and office services.
  • Oversee human resources, library and information resources, facilities, purchasing, and budgeting for all offices.
  • Perform HR duties such as hiring legal and support staff, onboarding, training, performance appraisals, conflict resolution, compensation, and recordkeeping.
  • Plan and coordinate events such as CLE programs, summer events, holiday events, special events, and office activities.
  • Maintain an in-office presence to actively manage staff and address office needs.

Requirements

  • Bachelor's degree from an accredited university.
  • Minimum of 5 years of office management experience, including employee supervision and managing multiple projects concurrently.
  • Proficiency in labor and employment laws and HR best practices.
  • Strong financial and business acumen with a solid understanding of HR principles and information systems in a professional services setting.
