About the position

A manufacturing company located in Glenville, NY is seeking to hire an Office Administrator to join their team immediately. This position is ideal for a detail-oriented individual who thrives in a fast-paced environment and possesses strong communication skills. The Office Administrator will play a crucial role in ensuring the smooth operation of the office by managing various administrative tasks and supporting different departments as needed. This is a temp-hire opportunity, meaning that the selected candidate will have the chance to transition into a permanent role based on performance and fit within the company culture. The Office Administrator will be responsible for a variety of tasks that include meeting and greeting visitors, distributing daily mail, receiving and staging incoming packages, and handling incoming calls and other communications. The role also involves updating documents, word processing, organizing travel arrangements, and maintaining office supplies inventory. The ideal candidate will have a strong work ethic and the ability to work with minimal supervision, ensuring that all tasks are completed efficiently and effectively. In addition to the core responsibilities, the Office Administrator will assist with scheduling and coordinating meetings, overseeing office equipment maintenance, and providing support to the Human Resources and Accounting departments as needed. This position requires a high level of discretion and confidentiality, as the Office Administrator will be privy to sensitive information. The work schedule is Monday through Friday from 8 am to 4:30 pm, and the role is 100% on-site, emphasizing the importance of being present in the office to facilitate communication and collaboration among team members.

Responsibilities

  • Meeting and greeting visitors.
  • Daily mail distribution.
  • Receiving & staging incoming packages.
  • Handling incoming calls and other communications.
  • Updating documents and word processing.
  • Organizing travel by booking accommodations and reservations.
  • Scanning, copying, filing as needed.
  • Scheduling and coordinating meetings/appointments and conference calls.
  • Overseeing office supplies inventory and ordering supplies as needed.
  • Maintaining office equipment as needed.
  • Assisting Human Resources & Accounting as needed.

Requirements

  • H.S. graduate or equivalent.
  • Proficiency with Microsoft Word, Excel, PowerPoint, Teams, Outlook.
  • Experience as an office assistant or in a related field.

  • Strong work ethic, with an ability to work with very little supervision.
  • Exceptional interpersonal and written communication skills.
  • First-rate organizational skills to include: ability to prioritize, attention to detail and following tasks through to completion.
