About the position

Holy Names Music Center is seeking an Office Administrator who is passionate about fostering a creative, efficient, and welcoming environment. As a key member of our administrative team, the Office Administrator will be responsible for ensuring the smooth operation of the Music Center's daily activities while serving as a primary point of contact for students, parents, faculty, and the broader community. This role requires a proactive, detail-oriented individual who can handle a wide range of administrative tasks with professionalism and minimal supervision. The Office Administrator will support the mission of Holy Names Music Center by embracing and advocating for its mission, vision, and values in all interactions and tasks. This includes developing and implementing systems to enhance workflow efficiency and maintaining an organized office environment. The role involves managing daily administrative operations, including staffing the office, light bookkeeping, and maintaining historical and current files. Customer service is a critical aspect of this position, as the Office Administrator will provide exceptional service to students, parents, donors, and community members, ensuring all inquiries are handled with professionalism and empathy. The individual will serve as the initial point of contact for the Board of Trustees, customers, and faculty, handling all communications, including emails, phone messages, and direct inquiries, with discretion and efficiency. Additionally, the Office Administrator will support the Executive Director by providing clerical support, keeping them informed of all initiatives, deadlines, and ongoing operations. This includes attending and recording staff and faculty meetings as needed. The role also encompasses donor and financial management, maintaining the donor management system, supporting accounts payable/receivable processes, and managing the facility usage calendar and rental contracts. Event support is another key responsibility, where the Office Administrator will assist in planning and executing special events, producing publicity materials, coordinating media contacts, and overseeing volunteer involvement. The individual will contribute to the Center's marketing efforts by managing, updating, and creating content for the HNMC website, social media platforms, and other promotional materials, supporting strategies to generate funding and enhance the Center's community presence. General office duties include managing incoming payments, maintaining bulletin boards, checking and distributing FAX and email communications, and providing timely assistance to customers, faculty, and other staff. This position is full-time, requiring a strong commitment to the mission of Holy Names Music Center and a genuine appreciation for the development and performance of musical skills.

Responsibilities

  • Support the Mission: Embrace and advocate for Holy Names Music Center's mission, vision, and values in all interactions and tasks.
  • Office Management: Develop and implement systems to enhance workflow efficiency and maintain an organized office environment.
  • Manage daily administrative operations, including staffing the office, light bookkeeping, and maintaining historical and current files.
  • Customer Service: Provide exceptional service to students, parents, donors, and community members, ensuring all inquiries are handled with professionalism and empathy.
  • Communication: Serve as the initial point of contact for the Board of Trustees, customers, and faculty. Handle all communications, including emails, phone messages, and direct inquiries, with discretion and efficiency.
  • Prepare correspondence, including emails, letters, and event programs, at a professional level.
  • Support the Executive Director: Provide clerical support for the Executive Director, keeping them informed of all initiatives, deadlines, and ongoing operations.
  • Attend and record staff and faculty meetings as needed.
  • Donor and Financial Management: Maintain the donor management system, including tracking and acknowledging gifts in a timely manner.
  • Support accounts payable/receivable processes and manage the facility usage calendar and rental contracts.
  • Event Support: Assist in planning and executing special events, including producing publicity materials, coordinating media contacts, and overseeing volunteer involvement.
  • Marketing and Outreach: Contribute to the Center's marketing efforts by managing, updating, and creating content for the HNMC website, social media platforms, and other promotional materials.
  • Support strategies to generate funding and enhance the Center's community presence.
  • General Office Duties: Manage incoming payments, maintain bulletin boards, check and distribute FAX and email communications, and provide timely assistance to customers, faculty, and other staff.

Requirements

  • Commitment: A strong commitment to the mission of Holy Names Music Center and a genuine appreciation for the development and performance of musical skills.
  • Experience: Documented office management experience, including event planning, preparation of print materials, and file management.
  • Communication Skills: Professional written and oral communication skills are essential.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Publisher, Access) and familiarity with QuickBooks, Outlook, Office 365, Adobe Photoshop, and database management.
  • Organizational Skills: Strong organizational skills with the ability to work effectively with a variety of employees and volunteers.
  • Trustworthiness: High level of trustworthiness, reliability, and the ability to work independently with minimal supervision.
  • Background Check: Must pass a Washington State Patrol Background Check.
