The Office Administrator supports a complex contract, project, or task(s) by tracking and reporting on various aspects directly impacting revenues and expenses, preparing billing, auditing time records, and overseeing facility and vendor/supplier services and performance. In addition, the Office Administrator may perform various other office functions such as workers compensation administration, employee orientation, completion of HR paperwork, etc. Provides support to the Business Manager. Essential Responsibilities include maintaining and tracking costs and performances on contracts, collecting time sheets, payroll/labor accounting, preparing billing, overseeing personnel records, and representing the company to vendors and suppliers. The Office Administrator manages and reconciles debit cards, vehicle and aircraft fuel credit cards, verifies employee timesheet information, and reconciles payroll for all site employees. They also reconcile all customer billing invoices, audit billing invoices, and track invoice billing and communications within the company regarding billing and invoices. Additionally, they manage and reconcile travel invoices, bank checking accounts, petty cash fund, and special events. The role involves answering and responding to phone, fax, and email inquiries from customers, company, employees, and the like. The Office Administrator may also be responsible for performing HR functions for new hires, terminations, benefit changes, open enrollment, and inputting employee changes into the PeopleSoft HRIS system. They complete and enter Employee Change Notifications (ECNs) into PeopleSoft, coordinate drug testing programs, administer and coordinate the Workers Comp program with the carrier AIG, and manage personnel folders and workers comp files. Furthermore, they coordinate communications, dues, and benefit changes with Union(s) and the company, ensuring proper maintenance of contract requirements and information in the contracts system, and supervising subordinates in a variety of complex administrative tasks.
