About the position

This position will be relocating from Springfield, VA to Chantilly, VA before the end of 2024. ENSCO Inc. is a diverse engineering and technology company that provides engineering, science, and advanced technology solutions that guarantee mission success, safety, and security to governments and private industries worldwide. We are seeking an Office Administrator for our Springfield office to support our National Products, National Capitol Region, and Analysis & Technical Services Program contracts. The Office Administrator plays a crucial role in ensuring that our employees, who are the Subject Matter Experts working on research and development teams, have the necessary resources, facilities, and equipment to perform their duties effectively. This role also involves managing relationships with our customers, who are guests at the facility, including government representatives, ENSCO staff, subcontractors, and other contractors. The Office Administrator will be responsible for fostering collaboration within the office, which is key to managing a successful work environment. This includes close coordination with Security, Program Managers, and the Administrative Lead for our group in Cocoa Beach, FL. Effective communication is essential, as the Office Administrator must keep Program Managers informed of any situations, problems, or personnel issues that require assistance. Regular feedback on the office environment and morale topics is also part of the role. Accountability is critical, ensuring that assigned tasks are thoroughly completed, personnel have the needed resources, and that priorities are understood and followed. Taking initiative to improve the workplace environment is a vital aspect of this position. The Office Administrator will solicit inputs from management and employees for improvements and ensure that our guests have what they need. The primary duties include employee support, management of software licenses, facility management, and purchasing. This role requires a proactive approach to coordinating meetings, travel arrangements, and maintaining conference room schedules, as well as managing property and procurement needs for the Springfield office.

Responsibilities

  • Provide onboarding support for new team members.
  • Coordinate, schedule, and facilitate meetings.
  • Manage travel arrangements and provide expense report support to the Springfield team.
  • Promote internal communication and employee morale.
  • Manage software licenses, including renewals and maintaining a list of software products.
  • Oversee computer assets for employees and projects.
  • Ensure proper tracking and labeling of ENSCO and government property.
  • Maintain conference room schedules and ensure readiness for use.
  • Produce purchase requisitions for office needs, including furniture and supplies.
  • Complete monthly expense reports and AMEX reconciliation.
  • Procure services necessary for daily operations of the facility.
  • Act as the point of contact for all employee office supplies and needs.

Requirements

  • 2+ years of office-related experience.
  • Experience with Microsoft Office suite of tools.
  • Ability to research, evaluate, interpret, and apply rules, regulations, and procedures to various situations.
  • Strong written and verbal communication skills, with the ability to work professionally with peers, management, contractors, and other agencies.
  • Must be able to obtain and maintain a DOD Secret clearance, requiring U.S. citizenship.

Nice-to-haves

  • Bachelor's degree.
  • Active Secret or TS/SCI clearance.
  • Experience managing a SharePoint site.
  • Experience with CostPoint and/or SAP Concur.
