About the position

J.F.D. Landscapes, Inc. is seeking a dedicated Office Administrator to join our team in Chagrin Falls, Ohio. Founded in March 1989, we pride ourselves on being a full-service landscape company that aims to be recognized for excellence in service, creativity, and professional standards in Northeast Ohio. This newly created Office Administrator position is crucial for supporting our growth by developing and automating processes that enhance our day-to-day administrative operations. The role is full-time, Monday through Friday from 8 am to 5 pm, offering a competitive salary range of $58,000 to $65,000, commensurate with experience. The Office Administrator will be responsible for a variety of tasks that are essential to the smooth operation of our business. This includes completing accounting and bookkeeping work such as managing accounts receivable and payable, processing payroll through a third-party administrator, and performing basic credit card and bank reconciliations. Additionally, the Office Administrator will manage relationships with insurance brokers for health, liability, and workers' compensation coverage, as well as handle requests for services with vendors. A key aspect of this role will be to develop and implement office policies and procedures, automate and streamline processes to support the administrative needs of the operation, and create and update standard operating procedures (SOPs) as necessary. The Office Administrator will also serve as a collaborative member of the leadership team, contributing to the overall success of the company.

Responsibilities

  • Completing accounting and bookkeeping work including accounts receivable, accounts payable, and payroll through a third-party administrator.
  • Managing relationships with insurance brokers for health, liability, and workers' compensation coverage.
  • Managing requests for services with vendors.
  • Developing and implementing office policies and procedures.
  • Automating and streamlining processes to support administrative needs of the operation.
  • Creating and updating office standard operating procedures (SOPs) as necessary.

Requirements

  • 5+ years of experience as an office administrator, office manager, or similar role.
  • QuickBooks Online experience required.
  • Strong knowledge of technology including Microsoft Word and Excel.
  • Experience in the landscaping industry or a similar field preferred.
  • Technology-savvy with the ability to develop and streamline processes.
