About the position

Trinity Rehab is seeking a self-motivated and enthusiastic Office Administrator to join our team in Metuchen, NJ. As an outpatient physical therapy provider, we are dedicated to delivering the best patient care and experience possible, helping our patients regain their quality of life. The Office Administrator plays a crucial role in this mission by working closely with the Clinic Director to ensure a positive experience for all patients. This position is the first point of contact for patients, introducing them to Trinity Rehab, our staff, and the services we offer. In this role, the Office Administrator is responsible for setting the tone of the patient experience and is integral to the rehab team. The Office Administrator will assist the Clinic Director in maintaining efficient clinic operations and ensuring proper communication throughout the team. Key responsibilities include managing clinic and patient compliance, verifying insurance benefits, collecting patient payments, and liaising with physician offices for necessary patient documentation. The Office Administrator will also handle a variety of administrative tasks, including providing a welcoming atmosphere, answering phones, greeting and assisting patients, scheduling appointments, and performing data entry and documentation. The ideal candidate will possess a positive attitude, enjoy patient interaction, and be a team player who is organized, efficient, and comfortable in a fast-paced environment. This position requires fluidity, flexibility, and adaptability to handle multiple competing priorities while maintaining professionalism with both staff and patients.

Responsibilities

  • Provide a welcoming atmosphere for patients and visitors.
  • Answer phones and schedule appointments for patients.
  • Verify insurance benefits and ensure compliance with patient prescriptions and plans of care.
  • Obtain insurance authorization and perform follow-up as needed.
  • Assist the Billing Department with deposits, insurance corrections, and medical records requests.
  • Collect patient payments and manage outstanding patient payments.
  • Perform administrative documentation and data entry for new patients and patient compliance.
  • Communicate effectively with the Clinic Director and other staff members.

Requirements

  • Strong patient care skills and a commitment to providing excellent service.
  • Leadership qualities to assist the Clinic Director in managing clinic operations.
  • Entry-level experience in an administrative role, preferably in a healthcare setting.
  • Knowledge of health insurance deductibles, copays, and authorizations.

Nice-to-haves

  • Experience in a fast-paced healthcare environment.
  • Familiarity with medical terminology and patient care processes.
