About the position

The Office Administrator at Impact 360 Institute plays a crucial role in providing high-quality services and hospitality to guests, ensuring a remarkable experience. This position is responsible for supporting the administrative operations of the Admin Area, which includes providing assistance to the Executive Director and the Director of Cultural Engagement and Student Discipleship. The Office Administrator will maintain a professional and welcoming presence at the Admin Area Front Office, ensuring that the environment is clean, organized, and presentable at all times. This role serves as the first point of contact for visitors entering the Jeannette Cathy Learning Center, warmly receiving guests and students, and ensuring a positive first impression while directing them appropriately. In addition to front office duties, the Office Administrator will provide support during various Impact 360 campus events, including campus tours and external group usage, while also managing incoming and outgoing communications efficiently. This includes providing information, taking messages, and transferring calls to the appropriate departments. The role requires performing various office-related and clerical duties such as mail sorting, inventory and supply ordering, preparing credit card expense reports, and maintaining accurate guest reports. Security protocols must be enforced by monitoring guest access and adhering to safety and emergency procedures. The Office Administrator will also facilitate registration and access for guests and vendors, operate check-in and check-out for the organization's vehicles, and manage point of sale and inventory for Impact 360's store. Administrative support for the Executive Director and Director of Cultural Engagement and Student Discipleship includes coordinating their calendars, scheduling meetings, and managing other logistical details. This position is essential for ensuring that the administrative functions of the organization run smoothly and efficiently, contributing to the overall mission of Impact 360 Institute.

Responsibilities

  • Maintain a professional and welcoming presence at Admin Area Front Office.
  • Ensure the Admin Area is clean, organized, and presentable at all times, restocking materials, and keeping the area well-maintained.
  • Serve as the first point of contact for anyone entering the Jeannette Cathy Learning Center.
  • Warmly receive guests and students, ensuring a positive first impression and directing them appropriately.
  • Provide support during Impact 360 campus events, such as campus tours and hospitality services.
  • Manage incoming and outgoing communications efficiently, providing information, taking messages, and transferring calls to the appropriate department.
  • Offer information about the Impact 360 Institute, its programs, events, and relevant details in a clear and helpful manner.
  • Perform office-related and clerical duties including mail sorting and delivery, inventory and supply ordering, preparing credit card expense reports, copying, scanning, and maintaining accurate guest reports.
  • Enforce security protocols by monitoring guest access, CCTV, issuing guest badges, and adhering to safety and emergency procedures.
  • Facilitate registration and access for guests and vendors.
  • Operate check-in and check-out for organization's vehicles.
  • Operate point of sale and inventory for Impact 360's store.
  • Provide administrative support for Executive Director and Director of Cultural Engagement and Student Discipleship by coordinating their calendars to schedule meetings, appointments, and conference rooms.

Requirements

  • An evangelical believer actively involved in a church and living out his/her faith on a daily basis; agrees with the Impact 360 Institute's Statement of Faith and supports the vision, values and philosophy of Impact 360 Institute, Inc.
  • Associate's degree or equivalent combination of education and experience.
  • Minimum of 2 years of clerical, customer service, and administrative work experience.
  • Intermediate proficiency in Microsoft Office software (Word, Excel, and Outlook) required.
  • Ability to maintain strict confidentiality on sensitive information.
  • Outstanding interpersonal and communication skills, including telephone, e-mail, written correspondence, scheduling, and face-to-face interaction.
  • Demonstrated ability to manage multiple projects and tasks, anticipate needs, track critical details, and problem-solve.
  • Ability to work independently and as a strong team player under time pressures without loss of poise, grace, or humor.
