About the position

The Office Administrator at Decker Truck & Equipment Repair is responsible for ensuring the smooth operation of the office by managing various administrative tasks, coordinating vendor relationships, and supporting budgeting efforts. This role is essential for maintaining an efficient work environment and providing excellent support to both staff and clients.

Responsibilities

  • Oversee daily office operations, ensuring a well-organized and efficient workspace.
  • Manage vendor relationships, including negotiating contracts and ensuring timely service delivery.
  • Assist with ordering parts, tracking purchases, and inputting parts in inventory.
  • Handle front desk responsibilities, including greeting visitors, answering phones, and managing correspondence.
  • Maintain organized filing systems for both physical and digital documents to ensure easy access to information.
  • Manage accounts receivable and aged invoicing.
  • Open repair orders for technicians.
  • Collaborate with team members on various administrative projects to enhance office productivity.

Requirements

  • Proven experience in office management or administrative roles is preferred.
  • Strong organizational skills with the ability to manage multiple tasks effectively.
  • Familiarity with vendor management practices and budgeting processes is a plus.
  • Excellent communication skills, both verbal and written, are essential for interacting with staff and clients.
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • Must have a valid driver's license and willingness to go and pick up/deliver parts as needed.

Nice-to-haves

  • Familiarity with vendor management practices and budgeting processes is a plus.
  • Experience with Microsoft Office for at least 1 year.
