The Office Administrator has a pivotal role within our organization, as it is responsible for overseeing the daily operations of the office. This position involves a broad range of tasks, from assisting in day-to-day administrative functions to ensuring that all employees have the resources they need to be productive. The Office Administrator will act as the backbone of the office, facilitating communication across departments, coordinating meetings and appointments, managing office supplies, and maintaining a welcoming and organized workspace.

Responsibilities

  • Handle all incoming phone calls
  • Manage office communications, including emails, phone calls, and correspondence
  • Draft emails, letters, memos, forms, and documents using proper business writing techniques
  • Ensure office cleanliness and organization are maintained at all times
  • Assist with document management, filing, and recordkeeping
  • Monitor and coordinate acknowledgment for employee birthdays and anniversaries; create certificates for employee anniversaries
  • Manage office equipment and monitor/purchase office supplies
  • Regularly monitor and stock restrooms with necessary supplies; follow the daily checklist
  • Coordinate travel arrangements and prepare itineraries for traveling staff members
  • Coordinate office holiday and non-work-related activities
  • Run daily errands as required
  • Perform daily office closure, including locking doors, turning off lights, setting the office security alarm system, and ensuring the office is tidy and ready for the next business day
  • Manage renewal of necessary licenses, ensuring all are up to date and regulatory compliant
  • Manage and track office expense budget
  • Monitor and track employee uniforms and order/distribute as needed
  • Assist human resources with onboarding new employees
  • Provide accounting department support in the form of customer payments, credit card purchases, and invoice recordkeeping
  • Provide CEO administrative support, including completion of assignments and projects as directed
  • Always maintain professionalism and discretion

Requirements

  • High School Diploma or High School Equivalency
  • Minimum 2-years' experience as an office administrator or 3+ years' experience as an executive assistant
  • 1-2 years' experience with Microsoft Office (Excel, Word, etc.)
  • Customer service expertise, including attention to detail and proficient phone skills
  • Excellent communication skills, self-motivated, self-starter, sense of urgency, personable and outstanding organizational abilities
