About the position

We are seeking a highly organized and detail-oriented Tennis Club Administrator to manage club operations at two locations. This role involves providing administrative and bookkeeping support, ensuring smooth daily activities, and maintaining a positive and proactive work environment.

Responsibilities

  • Maintain and organize files, both physical and electronic, ensuring easy access to important documents.
  • Manage the cash reconciliation and deposit process.
  • Handle contract management, including generating and mailing contracts, applying payments, record keeping, follow-up, and status updates.
  • Maintain the membership roster and ensure payment from members of the tennis and health club.
  • Manage the coupon process.
  • Conduct weekly inventory at two clubs, including maintenance supplies, vending supplies, and marketing collateral, and place periodic supply orders.
  • Oversee club maintenance to ensure a high level of cleanliness and organization throughout the clubs.
  • Ensure that front desk personnel conduct daily walk-throughs inside and outside of the club and report on any maintenance issues requiring attention.
  • Ensure the safety of Members, Guests, and Team.
  • Handle other issues that arise from time to time.
  • Manage staffing and payroll after the first season.

Requirements

  • Proven experience in administrative roles is preferred.
  • Proficient in Microsoft Excel, Word, and QuickBooks (bookkeeping skills are a plus).
  • Attention to detail for accurate documentation.
  • Excellent problem-solving and follow-up skills.
  • Exceptional phone etiquette with a friendly demeanor when interacting with clients and colleagues.
